Your information, handled with care

01Who we are

VM Promotional is a Canadian-owned company based in Airdrie, Alberta. If you have a question about this policy or your information, contact us at info@vmpromotional.com or 825-414-2102.

02What we collect

Information you give us, for example when you fill out our Start a Project form or order form, book a call, use the website chat, or email or call us:

• Your name, company, email address and phone number
• Project and order details, like products, quantities, sizes, colours, dates and budget
• Logos and artwork files you send us
• Delivery or pickup details
• Anything else you choose to tell us in a message or chat

Information collected automatically when you visit the site, such as pages viewed, device and browser type, and approximate location. This comes from cookies and similar tools used by our website platform and Google Analytics.

This website does not ask for or store payment card details.

03How we use it

• To reply to your questions and requests
• To prepare quotes, product ideas and mockups
• To produce, deliver and follow up on your order
• To schedule and hold calls you book with us
• To keep business, accounting and tax records
• To understand how the site is used and improve it

We only send marketing emails if you've agreed to receive them, and you can unsubscribe at any time.

04Website chat assistant

The chat on our site is an AI assistant, not a person. Your messages are sent to our AI service provider to generate a reply. Please don't share sensitive personal information in the chat. If you ask us to follow up, the name, contact details and question you provide are sent to our team by email and text message so we can get back to you.

05Who we share it with

We share personal information only with businesses that help us run VM Promotional, and only what they need to do their part. These include:

• Our website, form, booking and database tools
• Email, text messaging and AI chat providers
• Google Analytics
• Suppliers and shipping carriers, to fulfil your order

We may also share information if required by law. We do not sell or rent your personal information.

Some of these providers store or process information outside Canada, mainly in the United States. When they do, your information may be subject to the laws of that country.

06Cookies and third-party content

Our site uses cookies to work properly and to measure traffic. You can block or delete cookies in your browser settings, though some parts of the site may not work as well. Some pages show content from other services, like our Instagram feed and booking calendar, and those services may receive standard technical information from your browser.

07How long we keep it

We keep personal information only as long as we need it for the reasons above, or as long as the law requires, for example for tax and accounting records. After that, we delete it or make it anonymous.

08Keeping it safe

We use reasonable safeguards to protect your information, including access controls and reputable service providers. No method of sending or storing information online is completely secure, but we work to protect what you share with us.

09Your choices

• Ask to see the personal information we hold about you
• Ask us to correct it
• Withdraw your consent, or ask us to delete your information, unless we need to keep it by law

Just email info@vmpromotional.com. If you're not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner of Alberta.
